Legal Assistant Position

The team at Immigrant Connection Mosaic is looking to add a Legal Assistant to our team. Your role will involve assisting in preparing forms, letters and applications for various immigration benefits. We’re looking for a person with attention to detail, organized, and someone dedicated to the mission and values of our organization.

We are a low-cost immigration legal services clinic in the Payne-Phalen neighborhood of Eastside St. Paul. We are a part of the Immigrant Connection Network (iclegal.org and icwelcome.org for more information) and Mosaic Christian Community Church.

Position information

Essential Job Duties:

Job Responsibilities

  • Case preparation for Immigration processes

    • Create cases and forms and review data entered

    • Create cover letters and organize case packet for DOJ to review, review with client and sign off on.

    • Prepare cases for sending to USCIS

  • Closes cases once decision is made. Send client notices and archive files.

  • Keep comprehensive up-to-date notes of case progress, indicating date, subject matter and resolution in client file, per Immigrant Connection at procedures.

  • Maintain all case records, documentation and fee collection as specified by IC Mosaic policies & procedures.

  • Actively participate in case review and other meetings needed to effectively provide excellent quality service.

  • Communicate with case-worker assigned to each case to ensure accuracy and high-quality case work.  

Professional Growth and Development

  • Attend trainings on immigration law and via online opportunities.

  • Attend and participate in staff meetings for supervision, team building and program planning.

  • Attend Immigrant Connection National conference

Professionalism and Confidentiality

  • Keep all client names and information and other agency business confidential.

  • Guard client confidentiality in waiting areas, during phone contact, and in handling of records.

  • Insure that all office and record security procedures are followed.

Interpersonal Relationships

  • Maintain a positive, respectful demeanor on all contacts with staff and the public.

  • Seek needed guidance in handling difficult client situations and establishing priorities for the job.

  • Work to build positive, productive relationships with other staff.

 

Job Requirements:

  • Experience or ability to deal with personal information requiring confidentiality.

  • Must have understanding and sensitivity to people of low income and multi-cultural backgrounds.

  • Ability to attend required trainings in immigration law and legal assistance

  • Ability to read, analyze and apply legal material required.

  • Ability to meet deadlines is required.

  • Excellent written and verbal communication skills required.

  • Must have knowledge of Word, Excel and be Internet savvy.

  • Regular and predictable attendance is required.  Currently Monday, Tuesday, Wednesday, Thursday 8:30 a.m. – 5 p.m.

  • Commitment to the mission of Immigrant Connection and Mosaic Christian Community .

 

Information:

Hours per week: 32

Not a remote position

Starting rate: $18-$20 hour

Legal Assistant training will be provided

Administrative Assistant Position

The team at Immigrant Connection Mosaic is looking to add an administrative assistant to our team. Your role will involve welcoming anyone who enters Mosaic, answering phones, checking clients in for appointments, and processing mail. We’re looking for a person who is personable, attention to detail, organized, and someone dedicated to the mission and values of our organization. Fluency in a second language would be a benefit but not required.

Job Responsibilities

·  Understand and effectively communicate the mission and vision Immigrant Connection Mosaic

·  Answer phone calls and return missed calls, pass on pertinent information to DOJ Reps

·  Scheduling for initial consultations and follow-up appointments

·  Keep track of office supplies and report to Site Director about needs

·  Greet clients and facilitate intake prior to their appointment

·  Collect payment for initial consultations and legal fees for cases, create receipts

·  Outbound calls for follow-up and final signings

·  Update client logs and organize file after appointments

·  Pull files for follow-up appointments

·  Manage office email

·  Manage and organize incoming mail

Growth and Development

  • Attend and participate in staff meetings for supervision, team building and program planning.

  • Attend Immigrant Connection National conference
